The multi-location problem
With one office, the attendance machine and the HR team are in the same building. With five stores, two warehouses and a head office, someone ends up collecting data from each machine, merging spreadsheets and chasing missing punches before payroll. Cloud attendance solves this by sending punches from every device to one central system as they happen.
How a cloud setup works
- Each location gets a face or fingerprint terminal that connects to the internet over Ethernet, Wi-Fi or a 4G router.
- Punches are sent to the cloud attendance platform, either the device maker’s cloud or an HR platform.
- If the internet drops, the device stores punches and uploads them when it reconnects.
- HR sees all locations in one dashboard, with shifts, late marks and overtime calculated centrally.
- Payroll pulls one consolidated report.
Enrolment and transfers
Employees are enrolled once and their face or fingerprint template is pushed to the devices where they are allowed to punch. When staff move between branches or cover shifts elsewhere, HR assigns them to the new location in the software rather than re-enrolling them on the device.
Shifts and rules across sites
Different locations often run different hours: a store open until 10 pm, a warehouse on two shifts, a head office on a five-day week. A central platform lets HR define shift templates once and assign them by location, department or employee, along with each site’s weekly offs and local holidays. Late marks, half-days and overtime are then calculated consistently everywhere.
Network and power at each site
- A wired connection is most reliable; 4G routers suit sites without broadband.
- Put the device on a separate network from billing and CCTV where possible.
- A small UPS or the device’s battery keeps it working through power cuts.
- Remote device management lets the administrator update users and settings without visiting.
Choosing a platform
Most brands offer cloud platforms — for example eSSL Cloud, ZKBio Time Cloud, Matrix COSEC VYOM and Suprema BioStar Air — and HR platforms such as greytHR, Zoho People and Keka can take punches from supported devices. Check that the device model you buy is supported by the platform you use before ordering.
Attendance with HR software →Rollout plan for a chain or group
- Start with head office and one branch as a pilot.
- Fix employee codes and shift rules before adding more sites.
- Install devices branch by branch, enrolling staff on the day.
- Give branch managers app access to their own site’s attendance.
- Switch payroll to the new reports after one parallel cycle.
Dashboards that help managers
- Who is in at each branch right now.
- Late arrivals and absentees by location, daily.
- Overtime by branch for cost control.
- Staff covering at other branches.
- Device status: online, offline, last sync.
Field staff and small sites
For sites too small for a device, or field staff, add mobile attendance with geo-fencing on the same platform so everyone appears in one report.

What if a branch loses internet?+
The device stores punches locally and uploads them when the connection returns.
Can an employee punch at any branch?+
Yes, if HR allows it. Templates are pushed to the devices where the employee may punch.
Do we need a server at head office?+
Not with a cloud platform. On-premise software is also possible with VPN links between sites.
Can you install devices at all our locations?+
We install across Bangalore and coordinate setup so every site connects to the same platform.
Can branch managers see only their own staff?+
Yes. Cloud platforms support role-based access, so managers see their branch while HR sees everything.
What happens when a device at a branch fails?+
Mobile attendance or manager-marked attendance can cover temporarily, while the device is repaired or replaced.
