Biometric & Attendance

Cloud Attendance Software: Is It Better Than Local Software?

How cloud attendance software works with biometric machines, its advantages for multi-location businesses, internet and data concerns, and when local software still makes sense.

Two ways to manage attendance data

Every attendance machine stores punches. With local software, a PC in the office downloads punches from each machine over the network or a USB drive, and reports are made on that PC. With cloud software, machines send punches over the internet to an online service, and HR, managers and employees use a website or app from anywhere.

When cloud is the better choice

  • You have more than one office, shop, site or factory.
  • HR or owners want to see attendance live from their phones.
  • Field staff or sales teams need mobile attendance with location.
  • You want automatic payroll export or integration with HR software.
  • There is no one to maintain a PC and its backups.

When local software is fine

  • A single small office with one machine.
  • Sites with unreliable internet and no need for live reports.
  • Organisations that must keep data on their own premises.

Costs: one-time vs subscription

Local software is usually bundled with the device or bought once, but someone has to maintain the PC, back up data and update the software. Cloud attendance is usually a monthly or yearly subscription per employee or per device, with backups, updates and remote access included. For a single small office, local software can be cheaper; for growing or multi-site businesses, cloud usually costs less once IT time is counted.

Questions to ask a cloud provider

  • Does the machine store punches if the internet drops, and sync them later?
  • Where is the data stored, and can we export all of it if we leave?
  • How does it handle our shifts, overtime and leave rules?
  • Which payroll or HR software can it export to?
  • How is biometric data protected, and who can access it?

Moving from local software to cloud

  • Check that your existing devices are supported by the cloud platform; some need a firmware update or replacement.
  • Export employee lists and recent attendance from the old software.
  • Set up shifts and rules in the cloud platform and connect devices.
  • Run both in parallel for one payroll cycle.
  • Archive the old database before retiring the office PC.

Privacy

Biometric data and attendance records are personal data under India’s DPDP Act 2023. With cloud software you share responsibility with the provider: choose one that explains its security clearly, limit administrator access, and remove former employees’ data according to your policy.

Quick answers

Does a cloud attendance machine work without internet?+

Good machines keep recording punches offline and upload them when the connection returns.

Can I see attendance on my phone?+

Yes, cloud attendance software usually has a mobile app or mobile-friendly website for managers and employees.

Can my existing biometric machine work with cloud software?+

Some can, depending on the model and the software. A check of the model number tells you whether it is supported.

Is cloud attendance secure?+

Reputable platforms encrypt data and control access. Check where data is stored, how access is controlled, and what happens to data if you cancel.

Can we get our data back if we leave the provider?+

Ask before you sign: you should be able to export employees and attendance history in a standard format.
