Attendance Reports That Matter: What to Check Every Day, Week and Month

The attendance reports that actually help managers and HR — daily absentees and late arrivals, missed punches, overtime, shift adherence, monthly muster and payroll exports, contractor headcount and compliance registers — and how to use them without drowning in data.

Data is not the same as information

An attendance system records thousands of punches a month. Most businesses only look at the monthly total when payroll is due, and by then problems — repeated late arrivals, missing punches, unauthorised overtime, contractors billing for absent workers — have already cost money. A small set of reports, reviewed at the right frequency, turns raw punches into decisions.

Exceptions, not everything

The most useful setting in any attendance software is the exception report: show only the people who were absent without leave, late beyond the grace period, missed a punch, or worked unusual overtime. Supervisors can act on twenty exceptions; they ignore a 500-row list.

Overtime control

  • Require pre-approval of overtime in the software, so unapproved hours are flagged.
  • Compare overtime with output or workload to spot habitual overtime.
  • Remember overtime is paid at no less than twice the normal rate under the Code on Wages.
  • Watch for overtime concentrated in one supervisor’s team.

Payroll export

The month-end report should feed payroll directly — days present, paid leave, unpaid leave, overtime hours and shift allowances — in the format your payroll software expects. Manual re-typing of attendance into payroll is where most errors and disputes start.

Compliance registers

The Code on Wages requires employers to maintain registers and records, which may be kept electronically, and the labour codes have been in force since November 2025. Attendance software that can produce muster rolls and working-hour records in the required format saves effort during inspections and audits.

Spotting misuse

  • Identical punch times for two people every day can suggest proxy punching on card systems.
  • Frequent manual corrections by the same approver deserve review.
  • Contractor headcount on invoices higher than attendance logs.
  • Punches at odd hours or from unexpected devices.

Getting the setup right first

  • Define shifts, grace periods and weekly offs correctly before trusting any report.
  • Map every employee to the right department, supervisor and contractor.
  • Decide who can correct punches and require a reason for every correction.
  • Test reports for one month in parallel with your existing method.

Dashboards for managers

Cloud attendance platforms offer dashboards with today’s attendance, late trends and overtime by department, viewable on a phone. Keep dashboards simple — three or four numbers a manager checks daily — and use detailed reports for HR.

An example

A garment unit in Bommasandra with 400 workers set up three reports: a 10 am absentee and late list for line supervisors, a weekly overtime report by line for the production manager, and a monthly contractor headcount report for accounts. Within two months, unapproved overtime fell sharply, and the unit found a contractor billing for more workers than were recorded at the gate.
