The trouble with coupons
Paper or token coupons are printed, distributed, lost, shared and sometimes resold. Canteen vendors bill for meals that cannot be verified, and HR spends hours reconciling. A canteen management system records each meal against an employee automatically, using the same face, fingerprint or card they use for attendance.
Who benefits
| Who | What changes |
|---|---|
| HR and admin | No coupons to print, issue or reconcile; monthly reports in minutes |
| Finance | Vendor bills verified against actual meals; subsidy cost visible by department |
| Canteen vendor | Accurate counts by meal and shift for purchasing and preparation |
| Employees | No coupons to carry or lose; quick service at the counter |
| Management | Data on how many people eat, when, and what that costs |
How it works
- A terminal at the canteen counter identifies the employee by face, fingerprint or card.
- The system checks entitlement: meal type, shift, number of meals allowed.
- A slip prints or the screen confirms, and the counter serves the meal.
- Each meal is recorded with time, type and employee.
- Monthly reports feed vendor billing and any payroll deduction.
Hardware at the counter
- A face or card terminal at each serving counter, placed so the queue flows past it.
- A small thermal printer for meal slips, or a display facing the server.
- Optional kitchen display showing live counts by meal type.
- Network connection to the attendance or canteen software, with offline storage.
- A UPS point, so the counter keeps working during power cuts.
Rules you can set
| Rule | Example |
|---|---|
| Meal windows | Breakfast 7–9, lunch 12–2:30, dinner 7–9 |
| Entitlement by shift | Night shift gets dinner and midnight tea |
| Limits | One lunch per person per day |
| Subsidy | Company pays a share; employee share deducted from salary |
| Guests and contractors | Separate rates billed to the department or contractor |
Benefits
- No coupons to print or manage.
- Accurate vendor bills based on actual meals.
- Automatic payroll deductions where applicable.
- Data for menu and quantity planning, reducing food waste.
Common fraud patterns it stops
- Coupons resold or given to outsiders.
- Employees taking extra meals on colleagues’ coupons.
- Vendors inflating meal counts on bills.
- Meals claimed by staff who were not present that day.
- Contract workers eating at employee subsidised rates.
Integration with attendance
Using the same platform and enrolment for attendance and canteen means one face or card for both, and checks such as serving meals only to employees present that day.
See our biometric attendance service →Example: a 600-worker factory canteen
A garment unit in Bommasandra served 600 lunches a day on paper coupons, and the monthly canteen bill never matched headcount. It moved to face recognition at two counters, linked to the attendance system so only workers who had punched in that day could claim a meal, with one meal per shift allowed. Contractor workers were tagged by agency so their meals could be recovered from contractor bills. In the first month the number of meals billed by the caterer dropped noticeably, because duplicate and unattended coupons disappeared. Queue time stayed under ten seconds per worker, as face recognition needs no slip or card.
Contract labour attendance →Rolling it out
- Agree meal windows, entitlements and subsidy rules with HR and the canteen vendor.
- Use existing attendance enrolments; enrol anyone not yet registered.
- Run the system alongside coupons for two weeks to compare counts.
- Share the monthly report format with the vendor so billing matches it.
- Withdraw coupons and announce the switch with a short notice to staff.
Quick answers
Can the canteen system use our attendance machine data?+
Yes, if both run on the same platform; employees are enrolled once.
Face or card for the canteen?+
Face is touch-free and cannot be shared; cards are faster but can be lent.
Can contractors’ meals be billed separately?+
Yes. Contract workers can be tagged and billed to their contractor.
Does it print meal slips?+
Many systems print a slip; others confirm on screen for the counter staff.
What if the network fails at lunchtime?+
The counter terminal continues to work offline, records meals and uploads them when the connection returns.
Can visitors and guests be served?+
Yes. Guest meals can be issued against a host employee or a department, or through temporary QR passes.
How fast is face recognition at a canteen counter?+
Usually around a second per person, which keeps lunch queues moving even at large factories.
Can the caterer see the meal reports?+
Yes, with limited access to daily meal counts by counter and shift, so billing can be agreed quickly.
