Two different needs
Schools track two groups. Teachers and staff need accurate in and out times for payroll and leave, just like any employer. Students need a fast, reliable record of who is present, with alerts to parents when a child is absent or late. The right system handles both without slowing the morning rush at the gate.
Staff attendance
Face recognition terminals in the staff room or at the staff entrance are now the usual choice: touch-free, fast and hard to cheat. Fingerprint machines are a lower-cost alternative. Attendance data should flow into the payroll or HR software so leave, late marks and substitutions are calculated automatically.
Student attendance options
| Method | Pros | Cons |
|---|---|---|
| Teacher marks in an app | No hardware, per-period attendance | Takes class time; relies on teachers |
| RFID ID cards at the gate | Fast; cards double as ID; low cost | Cards can be lent or forgotten |
| Face recognition at the gate | No cards; hard to proxy | Needs good placement and lighting; children’s biometric data needs care |
| Classroom face cameras | Automatic per-room counts | Higher cost; privacy sensitivity |
Parent alerts
Linking attendance with the school ERP or app lets parents receive an SMS or app notification when their child enters or leaves the campus, or is marked absent. This is one of the most valued features for parents and reduces calls to the school office.
CCTV and Safety for Coaching Centres and Tuition Classes →Handling the morning rush
- One face terminal or card reader per entry lane, with a short queue path.
- Separate staff and student entrances where possible.
- Readers placed under cover, away from direct sun.
- Late arrivals routed through the office for manual marking.
- Bus arrivals marked at the bus bay, or on the bus with a portable reader.
Reports schools use
| Report | For |
|---|---|
| Daily absentee list by class | Class teachers and parent calls |
| Late arrivals by student | Discipline and parent meetings |
| Monthly attendance percentage | Report cards and exam eligibility |
| Staff attendance, leave and late marks | Payroll and HR |
| Who is on campus now | Emergencies and evacuations |
Gate and campus security
- Staff and visitor entry through face or card-controlled gates.
- Visitor management with photo ID at reception.
- CCTV at gates, corridors and buses, in line with board and state requirements.
- Pick-up authorisation so only registered guardians collect young children.
Children’s data
India’s Digital Personal Data Protection Act sets special rules for children’s data, including verifiable parental consent and limits on tracking and behavioural monitoring, while the 2025 Rules provide some exemptions for educational institutions for purposes such as safety and educational activities. Take advice on how this applies to student biometrics, inform parents clearly, minimise what is stored and choose systems that keep templates encrypted. Cards are a simpler option where biometrics are a concern.

Is face recognition suitable for young children?+
It can work, but faces change as children grow and parental consent is needed for their biometric data. RFID cards are a simpler option for younger students.
Can parents get an SMS when their child arrives?+
Yes, when the attendance system is linked to the school ERP or app.
Can teacher attendance link to payroll?+
Yes. Most attendance software exports to payroll or integrates with HR platforms.
How many machines does a school need?+
Enough to clear the morning rush — typically one face terminal per entry lane, with separate staff terminals.
Can bus attendance be recorded?+
Yes, with a reader at the bus bay or a portable device on the bus, linked to the same system.
Can we track period-wise attendance?+
Period-wise attendance is usually marked by teachers in the school app, while gate devices record arrival and departure.
