School Gate Security and Visitor Management

How schools control who enters and leaves: gate staffing, visitor registration with photo, parent pickup authorisation, staff and vendor access, bus and vehicle entry, CCTV at gates, and handling custody disputes and emergencies.

The gate is the most important control

Most serious school security incidents involve someone getting in who should not have, or a child leaving with the wrong person. The gate is where both are prevented. A clear process, enforced by trained guards and supported by simple technology, protects children and gives parents confidence.

Who comes through the gate

GroupControl
StudentsEntry at set times; attendance at gate or class; parent alerts
StaffFace or card entry; list of current staff with the guard
Parents and guardiansRegistered pickup persons with photos; visitor pass for meetings
VisitorsRegistration with ID, photo, purpose and host; badge; escort if needed
Vendors and contractorsPre-approved list; time-limited passes; work areas only
Buses and vehiclesLogged entry; separate gate or time slots; drivers verified

Visitor registration

  • Replace the paper register with a digital system that captures name, phone, photo, ID, purpose and the staff member visited.
  • Print or display a visitor badge that is returned on exit.
  • Alert the host on arrival; the host collects the visitor from reception.
  • Keep visitor records for a defined period under the school’s data policy.

Safe pickup

Every child should have a list of authorised pickup persons with photos, held by the school. Anyone else needs written authorisation from a parent and a call to confirm. Some schools issue pickup cards or QR codes; others use face recognition at the pickup point. Custody disputes need special care: the school should hold copies of any court orders and follow them strictly.

CCTV and video at the gate

  • A camera at face height on each pedestrian gate, recording everyone entering and leaving.
  • A wider camera on the gate area and road, covering buses and parent vehicles.
  • A video door phone at closed gates so reception can see visitors before opening.
  • A monitor at the guard post showing gate and perimeter cameras.
  • Recording kept at least 30 days; schools under the Karnataka Public Safety Act must keep 30 days.

Guards and procedures

  • Licensed agency guards, police-verified and trained on school procedures.
  • Gates closed during school hours, with one controlled entry.
  • A written list of who may enter without registration, kept current.
  • A clear escalation: refuse entry, call the office, call the police on 112 if needed.

Emergencies and lockdowns

Schools should plan for intruders as well as fire. A lockdown procedure — a signal, classroom doors closed and locked, children away from windows, and a call to police — should be practised like a fire drill. Access-controlled doors that can be locked from the office, and CCTV visible to the principal, help during such events.

An example

A school in Sarjapur with 2,000 students moved from a paper register to a digital visitor system with photos, issued pickup cards with photos for each family, added face-height cameras at both pedestrian gates and a video door phone at the service gate. Afternoon dispersal now runs class by class through one controlled gate, and the office can see who collected each child.
