The gate is the busiest place
A large Bangalore apartment complex may see hundreds of visitors a day: food and grocery deliveries, cab drivers, maids, cooks, drivers, guests, service technicians and contractors. Guards have to verify each one with the right flat, quickly, without a queue at the gate. Visitor management apps, intercoms and gate systems together make this workable.
Ways to approve visitors
| Method | How it works | Notes |
|---|---|---|
| Visitor management app | Guard enters visitor on a tablet; resident approves on phone | Common in Bangalore; needs residents to respond quickly |
| Pre-approval | Residents add expected guests or daily staff in advance | Fastest at the gate |
| Analog intercom | Guard calls the flat on a wired intercom | Works without internet; no video |
| IP video intercom | Guard or visitor calls the flat’s video monitor or phone | Residents see the visitor; can integrate gate release |
| Phone call | Guard calls resident’s mobile | Slow and unrecorded |
Video intercom options
Traditional apartment intercoms connect the security cabin to each flat over dedicated wiring. Modern IP video intercoms run over the building network, so visitors can be seen on an indoor monitor or a phone app, and lobby door stations can release the tower door directly. When the building is wired for it, IP video intercom also supports flat-to-flat calls and calls to the clubhouse or maintenance office.
Video door phone vs Wi-Fi doorbell →Domestic staff and daily visitors
- Register maids, cooks and drivers once with photo and ID, linked to the flats they work in.
- Use face recognition or cards at the staff gate for fast entry and an attendance log for residents.
- Alert residents when their staff enter and leave.
- Deactivate access when a resident reports someone has stopped working.
Deliveries
- A delivery desk or locker area near the gate for residents who prefer it.
- Clear rules on whether delivery staff may go to flats, and for how long.
- Camera coverage of the delivery desk and lift lobbies.
- Time-limited entry for delivery staff, logged in the app.
Vehicles
Resident vehicles can enter through RFID tags or number plate recognition at boom barriers, while visitor vehicles are logged by guards. Linking vehicle entries to the visitor app keeps one record of who came and how.
Boom barriers for apartments →Reliability and backup
- Keep a UPS for gate tablets, intercom servers, network switches and barriers.
- Keep a fallback: a wired intercom or a printed resident list for internet outages.
- Make sure guard tablets are charged, mounted and secured.
Privacy of visitor data
Visitor names, phone numbers, photos and vehicle numbers are personal data. Associations should agree with the app provider how long data is kept, who can see it, and that it is not used for unrelated purposes. Collect only what is needed, and inform visitors with a notice at the gate.
The DPDP Act and CCTV →An example
A 450-flat community off Kanakapura Road combined a visitor app with an IP video intercom in each tower lobby and face recognition at the staff gate. Morning queues of maids at the gate disappeared, residents see delivery staff on their phones before approving, and the security supervisor can pull up any visitor’s entry, photo and gate video in a minute when a resident raises a concern.
Planning it together
We install intercoms, video door stations, gate automation, boom barriers and CCTV, and integrate them with the visitor app your community uses where it supports integration.
Intercom systems →Quick answers
What is the best visitor management system for apartments?+
Most communities combine a visitor app for approvals with video intercoms at tower lobbies and face or card entry for daily staff.
Do apartments still need intercoms if they use an app?+
An intercom is a useful fallback when the internet or app is down, and video intercoms let residents see visitors.
How are maids and cooks managed?+
They are registered once with ID and photo, then use face or card entry linked to the flats they serve.
Is visitor data protected?+
It should be. Agree retention, access and use with the app provider and inform visitors.
Can the intercom open the gate?+
IP video intercoms and gate controllers can be integrated so residents or guards release doors and gates.
